Conferences, meetings, exhibitions, congresses are an important way for an association, a company or an institution to communicate with its members, its staff, its customers or other business associates. A carefully planned and smoothly run event will embellish the reputation of the organisation that runs it. Your team is probably professionals in their own field and may be very experienced at managing your organisation’s other core activities. Therefore it is unlikely your team will be freed from their usual area of responsibility in the months prior to the event and this will be an additional task which they will need to fit into an already busy schedule.

How long does it take to organise an event? The short answer is: longer than you would expect.

A major international professional conference with over 1,000 delegates requires at least 24 months. A small internal company training might require three months. It is vital to plan a critical path or countdown at the outset. Work out how much time you have available and work backwards from the date of the conference.

Do it yourself?

Before you go any further, give some consideration as to whether you would be better off handing the detailed organisation to a professional conference organiser (PCO). You would still have overall control of the theme and content but you would be able to take advantage of a company with years of experience in planning events.
